ANNUAL SHAREHOLDER MEETING

July 6, 2024 11:00 a.m.

Trustees: Present: Joe Twist - President, Mary Doster-Treasurer, Eric Rasche-Huhyn-Vice President, Fran O’Connell- Secretary, Doug Petrovich-Trustee, John Chaput -Trustee, Absent: Bruce Ottenweller -Trustee

 

AGENDA

1.   Meeting called to order at 11:15am. A Quorum was present

 

2.   Trustees were introduced. No new members present to be introduced

 

3.   It was moved, seconded and approved to accept 2023 minutes as distributed.

 

4.   Treasurer’s Report and Budget: (See attachment). After income and expense discussion, it was moved, seconded and approved to accept the Treasurer’s report as presented.

 

5.   Trustee Election: No Trustee positions were up for election.

 

6.   Water System Update: John Chaput gave a water system update A leak in under upper Toboggan Rd was repaired. The lower well-house roof needs to be replaced. Repair costs will come out of the water fund.

 

 

7.   Projects, roads and grounds discussion: Doug Petrovich gave an update on:

·        Toboggan Road repairs that have been made and are planned..

8.   Doug Petrovich will continue to oversee roads and John Chaput will continue to oversee wells

 

9    Trees: We had Great Lake Energy come out and trim all trees close to the power lines that were their responsibility. When trees fall into the ravine, the tree is to be left there. Owner raised the point that by leaving the downed trees in the ravine, cloud create a dam that might undermine Surfside. Could an engineer be hired to review?  Andy Davis offered to have an engineer friend assess impact of ravine runoff. Who looked at the situation in the ravine and said it was not a problem.

We are also monitoring the situation on a regular basis. When trees are trimmed to improve lake view vistas on non-Michago property, the individual owners are responsible for brush clean-up . Doug will check with EGLE for their recommendations.

 

10.A question was raised regarding whether MBE insurance would cover

damage to owner’s property resulting from a tree on MBE property. Our insurance agent advises that if a Michago tree falls on a member’s property and damages a structure, the property owner’s insurance coverage responds.

 

11.Short Term Rental Proposal: Joe Twist presented an overview of  

the issues followed by owner discussion. A vote was called to either  amend the Bylaws to address Short Term Rentals or to do nothing. The proposal to update the Bylaws to address Short Term Rentals was passed 49-11. The Bylaws will be updated and submitted to the membership for approval

 

12.  Toboggan Drive Recommendations: There were active discussions

       regarding the pros and cons of paving or not paving Toboggan Road.    

      A call for the vote resulted in the option to replace the existing trench

      drains and grates being chosen. The vote was 39 for Option 1 and 21

      for Option 2.

 

13 Annual Dues proposed for 2024-2025 are:

Improved Lot:                $600 (up from $300)

Unimproved Lot:           $300 (up from $150)

Refuse:                         $150 (unchanged)

Water:                           $175 (unchanged)

Following a discussion, it was moved, seconded and approved to accept the new annual dues.

 

14.                Member discussion/topics

a.   Request was made to update the MBE Owner booklet. John Chaput will be responsible for preparing.

b.   Find out the Insurance coverage in place for MBE. Coverage is with Auto Owners Insurance Company with General Liability Limits of $1,000,000 with a $500 deductible and a 80% coinsurance provision. Coverage includes $50,000 Medical Expense coverage and $1,000,000 Directors and Officers coverage. The Board is also obtaining quotes and recommendations from additional companies  and will review and make any changes accordingly

c.   Cathy Petrovich had signups for:

                                         i.    MBE Google Group members

d.   Grant Township Fire Department and Emergency Services recommended that all MBE roads be plowed so they could access all cottage in case of a fire or medical emergency. After a discussion including a range of possible costs a show of hands vote showed that membership was in favor of road plowing at Association expense beginning this coming winter.
